SUMMARY

The Unit Guide Procedure establishes the steps and responsibilities involved in the development, approval, and publication of a Unit Guide in accordance with Schedule 6 Unit Guide Requirements of the Assessment Policy.

Note - a new Unit Guide Procedure for Units delivered from Session 1 2020 (see 2nd tab) was approved by Academic Senate on 22 October 2019 and will supersede the existing Procedure.

1     PURPOSE

To establish the steps and responsibilities involved in the development, approval and publication of a Unit Guide in accordance with Schedule 6 Unit Guide Requirements of the Assessment Policy.

2     SCOPE

This Procedure applies to staff involved in the development, approval and publication of Unit Guides, including Unit Guides for Macquarie University International College (MUIC).

3     DEFINITIONS

Commonly defined terms are located in the University Glossary. Definitions specific to this Procedure are contained in the Assessment Policy.

This procedure requires actions by the following:

  • Unit Convenor, or Program Manager (MUIC)
  • Head of Department, Program Director, or Program Manager (MUIC) or nominee
  • Associate Dean, Learning and Teaching, or Deputy Director, MUIC
  • Faculty Student Administration Manager, or Student Services Manager (MUIC)
  • Unit Guide Annual Review Working Group

UNIT CONVENOR, OR PROGRAM MANAGER (MUIC)

PREPARE

Prepare the Unit Guide using the officially approved University system in accordance with Schedule 6 Unit Guide Requirements of the Assessment Policy.

QUALITY ASSURANCE

Arrange for the draft Unit Guide to be reviewed by a colleague familiar with the discipline area. Consider any comments and revise the document as deemed appropriate.

Ensure the Unit Guide is peer reviewed in accordance with the curriculum review schedule and that appropriate responses are made to formal evaluative feedback.

LATE CHANGES

Obtain the approval of the Associate Dean, Learning and Teaching, or Deputy Director, MUIC for any required substantive late changes to the Unit Guide after it has been published, excluding housekeeping changes such as to contact details or the correction of errors.

Notify all enrolled students as soon as possible where a substantive late change to the Unit Guide is approved. Ensure publication of the revised Unit Guide.

EXCEPTIONAL CIRCUMSTANCES

Where exceptional circumstances prevent one or more of the specified unit guide requirements from being met:

  • advise the Head of Department, and Associate Dean, Learning and Teaching or Deputy Director, MUIC as soon as this issue is identified; and
  • advise the students in writing as to what happened and indicating the implications of these circumstances.

AVAILABILITY

Obtain the approval of the Head of Department, Program Director or Program Manager (MUIC), or nominee, and ensure the Unit Guide is available at least two weeks before the scheduled start date of the unit.

Ensure the Unit Guide for the most recent offering is published in the officially approved University unit guide system.

HEAD OF DEPARTMENT, PROGRAM DIRECTOR, OR PROGRAM MANAGER (MUIC) or nominee

REVIEW

Develop a timeline to ensure each Unit Guide is reviewed, approved and published at least two weeks prior to the scheduled start date of the unit.

Ensure there is a separate Unit Guide for each unit offering.

Review all draft Unit Guides to ensure they comply with all applicable policies.

Advise the Unit Convenor, or Program Manager (MUIC), of any required and/or recommended changes.

Once the necessary changes have been made, approve the Unit Guide for publication.

ASSOCIATE DEAN, LEARNING AND TEACHING, OR DEPUTY DIRECTOR, MUIC

ADVISE

Provide advice and assistance to Unit Convenors, or Program Manager (MUIC), regarding development, approval and review of Unit Guides.

REVIEW LATE CHANGES

Review requests for a substantive late change to the contents of the Unit Guide (excluding housekeeping changes and corrections of errors) if the change is proposed after the Unit Guide has been published. Approve as appropriate.

PEER REVIEW

Facilitate meetings of relevant groups within discipline areas to peer review Unit Guides in accordance with the curriculum review schedule

Consult with the Unit Convenor, or Program Manager (MUIC), and Head of Department, or Program Manager (MUIC), regarding these reviews.

FACULTY STUDENT ADMINISTRATION MANAGER, OR STUDENT SERVICES MANAGER (MUIC)

MANAGE RECORDS

At the end of each study period archive each Unit Guide. Provide a copy of, or access to, the Unit Guide on request.

UNIT GUIDE ANNUAL REVIEW WORKING GROUP

Consider, and where appropriate, approve the addition of/change to required fields in the officially approved University Unit Guide system.

4.1 Systems Overview and Resources

All Macquarie University Unit Guides are managed via workflows within the Macquarie University Curriculum Management System (MQCMS) and iTeach. These workflows enable the University to ensure accurate and timely publication of Unit Guides within https://unitguides.mq.edu.au/

4.2 New Units

All proposals for the creation of a new Unit must be submitted via the MQCMS, and will follow the prescribed Faculty/MUIC/PACE governance workflow within the MQCMS.

Consultation on the development of the Unit must occur if the proposal:

  • impacts an associated academic item
  • relates to a unit or course component that services a course from another area
  • impacts majors, minors or specialisations from another area
  • impacts units from another area
  • is part of an articulated/nested set
  • relates to a unit that is co-taught with another unit
  • relates to a PACE unit
  • relates to a Capstone unit.

4.3 Amendments to existing Units

Amendments to existing units must be submitted via the MQCMS and will follow the prescribed Faculty/MUIC/PACE governance workflow within the MQCMS.

Amendments that are submitted as ‘editorial amendments’ (e.g. correcting typos, syntax, grammar, punctuation, formatting, or hyperlinks) are allocated directly to the Curriculum and Planning team for action. If the Curriculum and Planning team consider the proposed amendments are not simply editorial (such as the rephrasing of entire sentences; or the alteration of learning outcomes) they will be resubmitted for approval via the prescribed Faculty/MUIC/PACE governance workflow.

Only editorial amendments may be made within three (3) weeks prior to the scheduled start date of the unit.

4.4 Timeframes

All proposals for the establishment of new units, or amendments to existing units (excluding editorial amendments) must be submitted via the MQCMS with sufficient time to reach the final Faculty Board or MUIC Subcommittee for approval prior to session commencement. This must be no later than three (3) weeks prior to the scheduled start date of the unit.

4.5 Roll-over of Units

Units may be rolled over from one teaching period to the next. If the only updates required are to the administration details for the unit (name of Unit Convenor and assessment due dates), this may be completed directly in iTeach. Unit roll-over must be approved within iTeach at least two (2) weeks prior to the scheduled start date of the unit by one of the following:

  • Head of Department
  • Course Director
  • Program Manager (MUIC)
  • Department Manager (as nominated in iTeach).
4.6 Publishing Unit Guides

The majority of information that is included in a Unit Guide will be captured in iTeach directly from the MQCMS. Unit Convenors will still need to add certain information in iTeach relating to administration details for the unit, including the name of the Unit Convenor, and assessment due dates.

Unit Guides must be approved within iTeach at least two (2) weeks prior to the scheduled start date of the unit by one of the following:

  • Head of Department
  • Course Director
  • Program Manager (MUIC)
  • Department Manager (as nominated in iTeach).

Unit Guides must be approved and available to be published onto https://unitguides.mq.edu.au/ at least (2) weeks prior to the scheduled start date of the unit.

4.7 Late changes to published Unit Guides

Any substantive late changes to units after Unit Guide publication (excluding editorial amendments) must be submitted via the MQCMS, and will follow the prescribed Faculty/MUIC/PACE governance workflow within the MQCMS.

The Unit Convenor or Program Manager (MUIC) must notify students as soon as possible where a substantive late change to a unit is approved.

4.8 Exceptional circumstances

Where exceptional circumstances prevent one or more of the specified Unit Guide requirements from being met, the Unit Convenor or Program Manager (MUIC) must:

  • advise the Head of Department, and Associate Dean, Learning and Teaching or Associate Director Learning and Teaching MUIC as soon as this issue is identified; and
  • advise the students in writing as to what happened and indicating the implications of these circumstances.
4.9 Quality Assurance

Ongoing quality assurance processes for units and Unit Guides include:

  • seeking regular review of units and Unit Guides by colleagues familiar with the discipline area
  • consideration of student survey feedback
  • formal review of units in accordance with curriculum review schedules, and
  • meetings of the Unit Guide Annual Review Working Group of SLTC to consider and, where appropriate, approve the addition of or changes to required fields within the Unit Guide system iTeach.
4.10 Record keeping

In accordance with the University’s record management obligations, past Unit Guides will be maintained in an archive contained within the iTeach system.
