SUMMARY

The Academic Transcript Request Procedure establishes the steps a student needs to take to apply for an Academic Transcript.

An Academic Transcript is an official record that includes yearly enrolment details, units, results, credit points, course completion and/or conferral of award details, Grade Point Average, as well as all fails and withdrawals. There is no softcopy/electronic version.

PROCEDURE

1     PURPOSE

To outline the steps a student needs to take to apply for an Academic Transcript.

This procedure requires actions by the following:

STUDENT

Request By Mail/Fax
Complete and print a Request for Academic Transcript form.

If you do not remember your student number, leave this blank but complete all other sections.

Attach a specimen of your signature, for example, a photocopy of your Driver’s Licence or Passport.

Ensure you have no outstanding fees or debts. Your transcript request will only be processed when all debts/sanctions are cleared. You can login to eStudent to confirm the status of any outstanding debts and make any required payments. 

Include relevant payment details on the form.  Money order, cheque or credit card are the only accepted payment methods. Transcripts cost $16 for the first transcript, and $1 for each additional transcript in the same request

Request In Person
Complete the Request for Academic Transcript form available at Student Connect, Building C7A, Level 2 MUSE

If you do not remember your student number, leave this blank but complete all other sections.

Pay for the transcript at Student Connect. Choose either:

  • urgent request, which costs $26 for the first copy, and $1 for each additional copy in the same request
  • routine request, which costs $16 for the first transcript, and $1 for each additional transcript in the same request

Cash can be used to purchase transcripts at the Cashiers (Lincoln Building C8A, Courtyard level).  Take your Request Form to the Cashiers to pay cash then proceed to Student Connect if you require your transcript urgently.

Please note Student Connect’s opening hours for processing transcripts are Monday to Friday 8.30am to 5.00pm.

COLLECT
Urgent Requests
Urgent Transcripts are available in person only if you pay for your request in person, you can collect your transcript from Student Connect when you place your order.

Routine Requests
If you make and pay for your request by 5.00pm Tuesday, your transcript will be ready for postage or collection from the Student Connect the Friday of that week.

If you fax, post or make your request in person after 5.00pm Tuesday, your transcript will be ready for postage or collection from Student Connect the Friday of the following week.

Third-Party Collection
If you wish a third party (for example, a family member, partner, friend) to collect the transcript on your behalf, you must provide them with the Third Party Authority Form to be produced when they collect your transcript. . That third party will be required to show photo identification when they collect your transcript.
