Learning resource repository

iShare is Macquarie University's digital content management repository, designed to share digital resources across the university and systems, such as iLearn. iShare works as a repository of files that can be used in multiple online locations. Once an item has been added in iShare it can be used in multiple places in iLearn by simply using the generated URL for the document.

Benefits of using iShare:

  • Upload and store once and yet be able to link across multiple units.
  • If updated in iShare, all instances of the resource are updated and the URL remains unchanged.
  • Easily share files with colleagues or a department.
  • Copyright compliance.
  • Version control.

Search for a resource in iShare

  1. Login to iShare
  2. Enter your MQ One ID and password to login.

  4. In the Search field enter in keywords to search by.
  5. Resources are stored in collections.  Select a collection to search from the dropdown list.
  6. Click Search.

View a document

There are a couple of ways to view a document

  1. Click on the title link to the resource or click on the image.

  2. The full details of the document will appear.  To view the resource click on the link under Links to Resources.

  3. To quick view the resource click on the Show attachments iShare_search icon. The link to the resource will arrear.  Click on the link to view the resource.

Link a resource in your iLearn unit

There are two ways to link a resource to your unit. You can add the link directly into your iLearn unit or you can add a link to the URL.

Adding a link directly into your iLearn unit from iShare means that you will already be authenticated so any iShare links you click on you will not need to type in your user id and password in again.

Adding the link to a URL would be used when you are adding the link to a website or external source.

To add a link directly into your iLearn unit

  1. Login to iLearn and select your unit.  Turn editing on and go to the week/topic where you would like to add the link.
  2. Click Add an activity or resource.
  3. Select iShare and click Add.
  4. Search for your resource.

  5. When you have found your resource click on the Show attachments iShare_search icon.
  6. Click on the plus icon to add the resource to your topic.

  7. Click on Save.
  8. The link to the resource will appear in your iLearn unit.

To as a link as a URL

  1. When you click on the link to view the resource it opens and has a URL that links back to the resource in iShare.

  2. Copy this link and go into your iLearn unit and add a URL resource.

Contribute a resource in iShare

  1. Login to iShare
  2. Enter your MQ One ID and password to login.
  3. Click on Contribute.
  4. You can contribute assets to the following collections. They are:
    • iLearn Image Collection which contains image files you can embed in iLearn.
    • Learning and Teaching Resources which contains resources and materials for use in iLearn units. These resources may include documents, images, website files or audio files.
    • Learning and Teaching Image Library which contains image files that were sourced and created originally for use on public accessible websites. A number of these images have been duplicated in the iLearn Image Collection, which is a newer collection and is intended for use in iLearn.
  5. The three other libraries are not available for use by all staff. They are:
    • CREAM Database (Chiropractic Research) contains resource for the teaching of research methods to chiropractic students and researcher and is available for staff in Department of Chiropractic to contribute.
    • iLearn Video Collection is currently available for Learning Designers to contribute. Everyone can search this library to link or embed video’s in your iLearn unit.
    • Unit Readings (eReserve) is only available to Library staff to contribute. Everyone can search this library and link reading to your iLearn unit.

Adding a Resource

  1. Click on the collection you would like to add the resource to.  For this example we are using the Learning and Teaching Resources collection.
  2. Click on Learning and Teaching Resources.
  3. Enter a Title for the resource.
  4. Enter a Description of the resource.
  5. Enter in Keywords which are searchable words that will be used to find the resource.  Start typing your keyword and if it has been used before it will appear in a dropdown list to select.   Click on the keyword.
  6. Click on Select to save the keyword.  Repeat this process to add in multiple keywords.
  7. Select the Format of the resource from the dropdown list.
  8. Click on Add a resource to upload the file.  Click on Browse or drag and drop the file.
  9. Click Next.  Here you have the option of changing the display name of the resource.  Click Save.
  10. Select a Category that best describes the resource for the dropdown list.
  11. Select a Faculty (if applicable).  Start typing and click on a selection from the dropdown list.
  12. Click on Select to save the Faculty.
  13. Is the item associated with a teaching unit? Select Yes or No.
    If you select Yes you will be prompted to enter the Unit code. Start typing your unit code and click on it from the dropdown list. Click on Select to save the unit code.

    If you select No you will be prompted to enter a Department/Office. Start typing your department and click on it from dropdown list. Click on Select to save the department.
  14. Is this copyright/licenced material? Select Yes or No.
    If you select Yes you will be prompted to enter a full bibliography citation.

    If you select No you will be promoted to enter the Author's name and status. Click Add Another Author to add in additional authors details.
  15. Who can access this resource? Select MQU only or Public.
  16. Click on Save in the top right corner.
  17. Click on Publish to publish the resource in iShare.

    If you click Save draft it will save it as a draft version so you can work on it later.  To view all your draft resources click on My resources and select Drafts

Adding an Image

  1. Click on Contribute.
  2. Click on Learning and Teaching Image Library.
  3. Enter a Title for the image.
  4. Enter a Description of the image.
  5. Enter in Keywords which are searchable words that will be used to find the resource. Start typing you keyword and if it has been used before it will appear in a dropdown list to select. Click on the keyword.
  6. Click on Select to save the keyword.  Repeat this process to add in multiple keywords.
  7. Click on Add a resource to upload the file. Click on Browse or drag and drop the file.
  8. Click Next.  Here you have the option of changing the display name of the image. Click Save.
  9. Click on the calendar icon and select the date when the image was created.
  10. Copyright owner of the image. Select Macquarie University of Non-MQU.
    The default is set to select Macquarie University and you need to enter the author’s name.
    If you select Non-MQU, enter the Copyright owner’s name and the author’s name if known. You also need to make a selection for Copyright licence, select Education Use or Creative Commons licence. If you select Creative Commons licence select the Type of CC Licence and Version of CC Licence from the drop down lists.
  11. Is the Image still in Copyright? Select Yes or No.
  12. Attach permission document for image (if applicable).
  13. Click on Save in the top right corner.
  14. Click on Publish to publish the image in iShare.
    If you click Save draft it will save it as a draft version so you can work on it later. To view all your draft resources click on My resources and select Drafts.
  1. Go to iShare at http://ishare.mq.edu.au
  2. Enter your MQ One ID and password to login.
  3. Click on Contribute.
  4. Click iLearn Video Collection (Kaltura or Youtube).
  5. Enter a Title for the video resource.
  6. Enter a Description of the video resource.
  7. Enter in Keywords which are searchable words that will be used to find the video resource.  Start typing your keyword and if it has been used before it will appear in a dropdown list to select.   Click on the keyword.
  8. Click on Select to save the keyword.  Repeat this process to add in multiple keywords.
  9. Click on Select terms under Discipline and select the required discipline for the video resource from the list.  Click Ok.
  10. Select a Faculty (if applicable).  Start typing and click on a selection from the dropdown list.
  11. Is the item associated with a teaching unit? Select Yes or No.
    If you select Yes you will be prompted to enter the Unit code.  Start typing your unit code and click on it from the dropdown list.

    If you select No you will be prompted to enter a Department/Office.  Start typing your department and click on it from dropdown list.
  12. Enter the Video creator’s name and select their Status of MQU Staff, MQU Student or Other.  Add another if required.
  13. Enter a Contact person (if applicable).  Click Select a user and search for their name.
  14. Uploading a new video or linking to YouTube video? You need to select from Upload new video or Link to YouTube.
    Only one video can be uploaded per item in this collection in iShare
  15. If you selected Upload a new video, select where you want to upload the video to.
  16. If you select Kaltura, select the Category in Kaltura media library.  Click on Select terms and select the required Kaltura Video Library. Click on Ok.
  17. Click on Add a resource to upload the file.  Click on Browse or drag and drop the file.
  18. Click Next.  Here you have the option of changing the display name of the video.  Click Save.
  19. If you selected Link to You Tube, click Add a resource and search for your video.  Select your video and click Add.  Here you have the option of changing the display name of the video.
  20. Click Save.
  21. Click on Save in the top right corner.
  22. Click on Publish to publish the resource in iShare.


    If you click Save draft it will save it as a draft version so you can work on it later.  To view all your draft resources click on My resources and select Drafts.
  23. Once you have Published the video it will process it and provide you with an embed code.  The duration of your video will determine how long it takes to process and you will see the following message until it has processed.
  24. After a couple of minutes, refresh the window and the embed code will appear.  If you don’t refresh the window the embed code won’t automatically display.

Using video resource embed code in iLearn

You can use the embed code from iShare in your iLearn unit as a page or label.  The example below is how to add the embed code to a page.

  1. Click Turn editing on.
  2. Go to the week/topic you wish to add the page to.
  3. Click Add an activity or resource and select Page.
  4. Click Add.

  5. Enter a Name.  This is what your students will click on.
  6. Enter a Description which will be displayed on the resources index page for accessibility purposes.
  7. Create you page in the Page content text field.  You can add text, images, video of links using the editing tools available in the HTML editor.
  8. To add the Embed Code you have from iShare, click on the Toobar Toggle ishare_video9 icon.
  9. Click on the Edit HTML Source ishare_video10 icon.

  10. Copy and paste the embed code from iShare and click Update.

    On the Page content text field you will not see any content at all. Once you hit save the embedded videos will appear.
  11. The remaining options can be left as the default.  Click Save and return to unit or Save and display to view.

LIH Staff Only - Update an Image

LIH staff has access to update details of an image.

  1. Locate your image and click on the title link to the resource or click on the image to view the full details of the resource.
